Noviota Limited ("we", "us", "the company") respects your privacy and is committed to protecting personal data we process about you. This policy explains what personal data we collect, why we collect it, how we use it, and the rights you have over it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who is the data controller

What personal data we collect

  • Contact form submissions. When you submit the contact form, we collect your name, email address, organisation (optional), area of interest (optional), and the content of your message.
  • Newsletter subscriptions. When you subscribe to receive research updates, we collect your email address.
  • Direct correspondence. When you email us, we receive the content of your message and any personal data it contains.

We do not collect data through profiling, behavioural tracking, advertising networks, social media plugins, or third-party analytics tools that identify individual visitors.

Why we process your data, and on what legal basis

  • To respond to your enquiry. Legal basis: legitimate interests (Article 6(1)(f) UK GDPR), or where applicable, to take steps prior to entering a contract (Article 6(1)(b)).
  • To send you research updates. Legal basis: your consent (Article 6(1)(a)), which you may withdraw at any time.
  • To meet our legal obligations. Legal basis: legal obligation (Article 6(1)(c)).

How long we keep your data

  • Contact form submissions: retained for up to three years after the last communication.
  • Newsletter subscribers: retained until you unsubscribe, then removed within thirty days.
  • Records required by law: retained for the period required (typically six years for accounting records).

Who has access to your data

Your personal data is accessed only by Noviota Limited personnel who need it to perform their work. We use data processors — our hosting provider and an email delivery service — under appropriate contractual safeguards; contact and newsletter data is managed within our own systems (FluentCRM). We do not sell or rent personal data to third parties, and we do not transfer personal data outside the UK or EEA without ensuring appropriate safeguards as required by the UK GDPR.

  • Request restriction of processing
