Noviota Oy ("we", "us", "the company") respects your privacy and is committed to protecting personal data we process about you. This policy explains what personal data we collect, why we collect it, how we use it, and the rights you have over it under the EU General Data Protection Regulation (GDPR) and the Finnish Data Protection Act (1050/2018).
Who is the data controller

What personal data we collect
- Contact form submissions. When you submit the contact form, we collect your name, email address, organisation (optional), and the content of your message.
- Newsletter subscriptions. When you subscribe to receive notifications of new publications, we collect your name and email address.
- Direct correspondence. When you email us, we receive the content of your message and any personal data it contains.
We do not collect data through profiling, behavioural tracking, advertising networks, social media plugins, or third-party analytics tools that identify individual visitors.
Why we process your data, and on what legal basis
- To respond to your enquiry. Legal basis: legitimate interest (Article 6(1)(f) GDPR), or where applicable, to take steps prior to entering a contract (Article 6(1)(b) GDPR).
- To send you newsletter notifications. Legal basis: your consent (Article 6(1)(a) GDPR), which you may withdraw at any time.
- To meet our legal obligations. Legal basis: legal obligation (Article 6(1)(c) GDPR).
How long we keep your data
- Contact form submissions: retained for up to three years after the last communication.
- Newsletter subscribers: retained until you unsubscribe, then removed within thirty days.
- Records required by law: retained for the period required (typically six years for accounting records under Finnish law).
Who has access to your data
Your personal data is accessed only by Noviota Oy personnel who need it to perform their work. We use data processors (hosting providers, Mautic for marketing automation) under appropriate contractual safeguards. We do not sell or rent personal data to third parties. We do not transfer personal data outside the European Economic Area without ensuring adequate safeguards as required by GDPR.
